As an executive secretary of FAWAZ REF. & A/C Co.'s Trading Division's Fire Fighting Dept. , one of my duties is to collect the Purchase Order faxes received from the clients / companies and arrange a shortest delivery time which suits the both parties to deliver the materials to their sites. As known , in this stage an invoice along with delivery note has to be issued, which will be signed by the customer when receiving the material.
Since there are six persons working in the Dept. , from Head of the Dept. to engineers, assistant engineers and secretary , all having the right to issue invoices, and sometimes engineers were out of the company at site and a sale had to be made on urgent bases, the last had to call the company and the stores to ask them issue an invoice, here the problem occurred, when the same invoice was issued twice by different serial number , different places and different employees, which caused duplication.
This doubled the work e.g canceling the invoices, correcting the records...
